For your first day in Shanghai, work in this order: clear arrival formalities, get connected, confirm a way to pay, reach the correct hotel entrance, check in and eat nearby. Sightseeing comes after those jobs, not between them. A calm arrival is more useful than a full schedule after a long flight.
Source-based planning edition, reviewed 5 October 2026. The arrival sequence is editorial, not a timed airport test. Confirm your own entry permission, flight terminal, transport and hotel arrangements.
Before flying: make one offline arrival note
Your booking may say Shanghai, but your transfer needs an airport, a terminal and a hotel address. Pudong International Airport is PVG / 上海浦东国际机场; Hongqiao International Airport is SHA / 上海虹桥国际机场. They are different airports. Hongqiao Airport and Hongqiao Railway Station are also different destinations within the transport hub.
Save these details before leaving home:
| Detail | What to save |
|---|---|
| Arrival | Flight number, airport code, terminal, date and local arrival time |
| Entry | Passport and the visa/exemption conditions applicable to your itinerary |
| Hotel | Chinese name, full Chinese address, telephone and booking reference |
| Entrance | Road-facing entrance or precise pickup/drop-off point supplied by the hotel |
| Late check-in | Written confirmation of arrival time and reception arrangements |
| Phone | Mainland data activation instructions and provider support |
| Payment | A prepared wallet, separate backup card and RMB cash plan |
| Transfer | Preferred option and a backup if the final usable service has ended |
Do not put card numbers or a full passport photograph on a card intended to show a driver. The driver needs your destination, not your identity or payment credentials.
Entry and the arrival card are separate checks
Confirm mainland entry permission for your passport, travel purpose and dates. Do not infer it from a paid air ticket or a completed arrival card. A visa exemption and transit permission have their own conditions, and border officers make the admission decision.
Where an arrival card is required, use the official NIA platform. The NIA says its online service is free and that paper and port-device options remain available. Avoid paid lookalike sites. Follow the instructions for your entry category and port. NIA guidance.
Carry your original travel document and have accommodation and onward/return details available. Keep the hotel address accessible without logging into a cloud account. If your phone is unavailable, you still need to explain where you are staying.
In arrivals: connect first, then decide the transfer
Follow immigration, baggage and customs directions. The published landing time is not the time you will be standing at the taxi rank: queues, baggage and terminal walking all come afterwards.
Once in the public arrivals area, get your planned data connection working. Check that the provider covers mainland China, not only Hong Kong. Read activation instructions before making changes that could disable your home number’s security messages.
Open the hotel address and your payment app. If a wallet still needs a check, do not let that alone prevent a transfer: use your prepared alternative and finish the setup at the hotel. Alipay preparation and backups explains the distinction between a linked card and a completed merchant payment.
If someone is meeting you, agree an exact public meeting point and a way to contact each other after landing. A terminal number is not a pickup point. Keep your host’s telephone accessible offline in case data does not work.
Choose airport transport by the whole journey
The Shanghai Airport Authority’s rail information and airport bus information are the places to check current service arrangements. This edition deliberately does not quote a universal final train, door-to-door duration or taxi total.
| Your situation | Compare first | What can change the choice |
|---|---|---|
| Daytime arrival, light bag, hotel near a useful station | Rail route to the hotel area | Transfers, station exits and the final walk |
| Heavy bags, children or fatigue | Official taxi or a clearly specified pre-arranged transfer | Car size, terminal pickup and road access |
| Late arrival | Service actually available after baggage collection | Last usable interchange, not just the first line’s last departure |
| Hotel near Hongqiao transport hub | The route to that exact hotel | Airport versus railway station and terminal confusion |
| Hotel on the opposite side of the city | Full transfer chain | A fast first leg can still leave a long second leg |
Pudong’s maglev ends at Longyang Road, not at your hotel. If considering it, include the onward transfer and bags in the decision. A ride taken for the experience is different from the simplest way to arrive.
For an official taxi, follow terminal signs to the designated rank. For ride-hailing, use the designated pickup area and match the vehicle details. Do not accept an unsolicited offer in the hall or enter a car that does not match your booking.
Check the route and available payment method before departure. Ask for the receipt and retain the vehicle/booking details if you need to resolve a problem. A planning allowance is not a promise of the meter total.
The last part of the hotel journey matters
A map pin can point to the middle of a building or a vehicle entrance that is closed. Ask the hotel for its Chinese name and usable entrance, especially if it is inside a complex or above shops.
Show this to a driver:
请送我到这家酒店的入口。
Please take me to this hotel’s entrance.
Follow it with the Chinese name and address. If the driver needs clarification, have the hotel telephone ready. Do not rely only on an English brand name that has several branches.
At reception, have your original passport and booking available. Confirm the departure/check-out arrangement and luggage storage rather than assuming either is included. Hotel reception should explain the accommodation-registration process for your stay; arrangements for private accommodation are a separate topic, not something this arrival plan substitutes for.
If arriving before the room is ready, ask what you can actually use: bag storage, a lobby seat or a paid early check-in. Do not begin a long walk carrying everything because an early room was assumed.
First meal: nearby and easy to recover from
Choose a staffed restaurant or food court close to the hotel. On arrival day, a readable menu, clear prices and a way to ask questions are worth more than a famous restaurant on the other side of the city.
Confirm portions before ordering. A dish intended for sharing is not automatically one person’s dinner. Ask about drinks, rice and any extra items before they are brought to the table.
| At dinner | Chinese |
|---|---|
| One person / two people | 一位 / 两位 |
| May I see the menu? | 可以看一下菜单吗? |
| Is this one portion? | 这是一份吗? |
| Please make it not spicy. | 请不要放辣椒。 |
| I am allergic to ___. | 我对___过敏。 |
| Please show me the bill. | 请给我看一下账单。 |
An allergy phrase is a communication aid, not a safety guarantee. Ask the kitchen about the actual ingredients and preparation; choose another option if they cannot confirm. The food-ordering guide covers paper menus, QR problems and payment checks.
If you still have energy, make the evening a short walk near your base. Save a longer three-hour Shanghai route for a night when the logistics are settled.
When one part fails
| Problem | Practical response |
|---|---|
| No mobile data | Use the offline hotel note; contact the provider from a suitable connection |
| SMS unavailable | Check the home line and bank’s approved alternatives; use backup payment |
| Wallet payment declined | Ask for another merchant method; avoid repeated uncertain charges |
| Useful rail connection has ended | Check the official taxi rank or an operating airport service |
| Wrong airport, terminal or hotel branch in a booking | Correct it with the actual operator before moving |
| Room not ready or late reception unclear | Contact the hotel; ask about real storage/check-in options |
| Too tired to sightsee | Eat nearby and rest; the evening view is optional |
Avoid solving every problem at once. First make sure you can reach a staffed hotel and contact someone. Payment setup and sightseeing can wait; personal documents and a safe destination cannot.
A sensible next morning
Before leaving the hotel, check phone battery, data, wallet status, a backup and the Chinese return address. Choose breakfast nearby and one main activity. A light start makes it easier to notice whether your payment and navigation setup really works.
If your stay is short, use a weekend in Shanghai. If the arrival journey has exposed a poor hotel location for your next trip, compare Shanghai bases by trip type.
Frequently asked questions
Does Shanghai’s airport code matter?
Yes. PVG and SHA are different airports. Check the actual flight and terminal before pricing or booking the transfer.
Should I choose the fastest train?
Compare the whole journey. Transfers, luggage, station exits and the hotel’s entrance can outweigh time saved on the first leg.
Can I plan dinner from the flight’s landing time?
Not reliably. Arrival formalities and bags come after landing. Keep the first meal flexible and close to the hotel.
Is an online arrival card permission to enter?
No. It does not replace a visa or the conditions of an applicable exemption. Admission is determined by the authorities.
